About the Scheduling Coordinator position

We are looking for an experienced scheduler who will help with organization of staffing on a daily basis, supporting managers and ensuring our site procedures run smoothly. Your duties will include managing site staffing and coordinating with other departments to ensure smooth operations.

You should be highly organized, able to multitask with ease and have experience as an Office Administrator, Scheduler or relevant administrative role. You should also be familiar with office software (e.g. MS Office), including word processors, spreadsheets and presentations.

Scheduling Coordinator responsibilities are:

  • Respond to queries from managers and employees

  • Arrange staff coverage for all sites across Embry Health

  • Assess staffing needs based on upcoming events and site openings

  • Coordinate schedule changes due to call outs, tardiness, and other circumstances

  • Manage company documentation and maintain internal database

  • Manage employee availability records

  • Review office policies and ensure compliance with them

Administrator requirements are:

  • 3+ years' experience of working as a Scheduler, Administrative Assistant or other relevant position

  • Profound experience with office policies and procedures

  • Good experience with office equipment, including printers and fax machines

  • Good experience with office management tools, including MS Office

  • Strong organizational, time-management and problem-solving skills

  • Strong written and oral communication skills, with close attention to detail

  • High school diploma; additional certification as an Office Administrator or Secretary will be a bonus
