Position Summary:

Embry Aesthetics Office is seeking an experienced Office Manager for our Tempe office. Our ideal candidate is someone who is performance driven, an organized problem solver with excellent customer service, administrative and time management skills. Our leads and patients are our number one priority and we expect this person to deliver the highest-quality service with a positive attitude. Preferred experience in an aesthetics front office, plastic surgery center, medical spa or retail medical facility, or a corporate owned or franchised entity. Must have a very positive outlook, excellent phone voice, and smile in your voice, and a naturally enthusiastic demeanor.

We are seeking great employees for the long term; should have a stable work history, and supervisory references.

Bonus potential can increase hourly wage.

Office Manager Responsibilities

Primary and Essential Duties:

  • Lead Management: Follow up and nurture; respond to incoming leads within 5 minutes; follow up on past leads.
  • Patient Follow Up: Schedule appointments, confirm appointments, close out the day's appointments.

Additional Duties (not limited to the following):

  • Follow up on patient care.
  • Greeting and checking out patients.
  • Maintain front and back office file system-must be exceptionally organized.
  • Attend and maintain all staff training accordance to industry laws and regulations of a medical office.
  • Marketing skills: Facebook Ads, Google Ads, Instagram-having graphic design experience is a big bonus.
  • Scheduling.
  • Payroll and commission payout.
  • Inventory.
  • Training classes and scheduling the training classes for employees.
  • Ordering supplies.
  • All other duties assigned.


  • Minimum of 2 years: Aesthetics front office administration, preferably Medical Spa or Plastic Surgeons Office.
  • Esthetician License (required)
  • Experience in Aesthetics retail sales; highly preferred.
  • Experience conducting consultations; preferred.
  • Experience with online scheduling software; required.
  • Experience with lead management software, Salesforce, Hubspot, etc.; strongly preferred.
  • Must maintain patient/client confidentiality in accordance with HIPAA regulations and company policy.
  • Must Maintain a high level of integrity with a strong ethical foundation.
  • Must have sound judgement, problem solving, and decision-making skills.
  • Must be able to stand for long periods of time.
  • Must be able to reach above shoulder height, crawl, kneel, and push/pull up to 50 lbs.

Work Schedule

  • Full-Time position

40 hours per week, 40 plus hours per week, our office schedule is:

  • Monday-Friday in office: 9:00 AM-6:00 PM
  • Some Saturdays in office: 10:00 AM-3:00 PM
